License Questions

How do I pay of the use of idTools?

idTools products are sold on a yearly license basis. This license includes all upgrades, technical support, limited training and unlimited use of the survey tools and reports by your company for the period of the license.
All this information is contained within our standard service contract.

What browsers does idTools work with?

The surveys and reporting tools work with Microsoft Internet Explorer (version 7.0 or higher) and can also be used with other browsers but are not guaranteed to have full functionality.

Can I add my own custom questions or reports?

Yes.  Most customers create their own surveys. We can also provide advice on building a survey on a fee per hour basis. Some customers want special reports built, although the system comes with built-in reports that meet most needs. For custom reports we provide a ‘good faith’ estimate of fees, and bill for this work on a time-and-materials basis.

Analyzing Results

How do surveys get sent out?

Because idTools is an online service, there is no hardware or software to buy, install or maintain. Once you sign up, the system allows the ‘System Administrator’ to create a ‘master list’ of names and email addresses of people that you want to send surveys to. The next step is to create a ‘batch’ or group of surveys by pointing-and-clicking to select people from the master list of names. Once this ‘batch’ of names is finalized, an email is automatically sent to each person in that batch with a customized message asking them to take the survey, and an embedded ‘hotlink’ (with a username and password) that leads them right into a secure areas where they can take the survey.

If you have many potential survey takers (some companies have tens of thousands) the system has the capability to import the names and email addresses directly into the system from a .csv file. Once imported, the names can be edited at any time.

Another option for sending survey emails is to use our 'anonymous' option in which the system creates a single survey access link, that you can then insert into an email that you send yourself.

How do I get access to our idTools reports and results of the surveys?

The System Administrator can set up access permissions for ‘Report Users.’ A Report User is a person that has access to a secure part of the site and can create reports based on the survey data collected. Anyone who needs access to reports can be authorized as a ‘Report User.’

How safe is my data?

Extremely safe. We utilize the same security techniques used in the banking industry to manage financial transactions.

Who can see my data and reports?

Only people who have been given special access rights can create reports and analyze the data. It is your organization’s responsibility to determine who is granted access and who is not.

Is any training required to analyze my results?

The idTools reports can be used immediately with little training. Our customers find that using idTools is extremely easy and user friendly. While simple to use, the reports and queries that idTools uses to analyze the information in your database are extremely powerful and sophisticated.

Is training available if I need it?

As part of the standard service agreement, we offer training for System Administrators. The sessions are held via telephone/conference call, and web meeting, allowing multiple participants from your organization to attend.

What involvement is required from my organization’s technology people?

Limited. idTools surveys and analysis are accessed through the Internet via a Web browser and require no modifications or upgrades to your existing environment. All you need is Microsoft Internet Explorer (version 7.0 or higher). Your IT/IS group may need to become involved if your organization has unique firewall conditions, limits employees access to the internet, or uses restrictive email filtering techniques.

Can I export my

Yes. You can export your survey data into a spreadsheet .csv file that can be inserted into an Excel spreadsheet. It will then be displayed in an easy to read format. When you export data, the file is emailed directly to you (or an email address you specify) from the system.

How can I sort my data for analysis?

You can sort the data by any survey variable that you choose. You choose the responses within the survey that will serve as sorting criteria within the reports.

How do I contact Customer Support?

Customer Support is available to assist you with your administrative needs related to use of idTools and to answer general questions. When you set up an account you will be provided a dedicated contact person and their phone number and email address provided as part of the service agreement. Normal customer support hours are Monday through Friday 8:00 AM to 5:00 PM Central Time, but we strive to help you at any time.

How do I get upgrades to the latest idTools analysis tools?

Because idTools is a hosted application, any time we add a new feature, change to the system or other upgrade, you will have access to it immediately the next time you visit the Web site. There is no need to download any software or make system adjustments. You may need to update your MS IE browser version to take advantage of full functionality, as features are added.

Billing Questions

What is your billing policy?

We will bill you in advance of your yearly license period. The amount you are billed is a fixed price for the duration of that license period for unlimited use. Our terms are "net 15" from the invoice date.
